How to Set Up a Network Printer Using an IP Address

Requirements

Before starting, make sure you have:

  • Printer powered on
  • Network/LAN connection
  • Printer IP address
  • Windows computer
  • Correct printer driver
  • Administrator access if required

Step 1: Find the Printer IP Address

The printer IP address can usually be found from the printer network settings or by printing a network configuration page.

Example: 192.168.1.100

Step 2: Test the Connection

Open Command Prompt and run:

ping 192.168.1.100

If you receive replies, the computer can communicate with the printer. If the ping fails, check:

  • Network cable
  • Wi-Fi connection
  • Printer network settings
  • IP address
  • VLAN/network configuration
  • Firewall rules

Step 3: Add the Printer

Open: Settings → Bluetooth & devices → Printers & scanners → Add device

If Windows does not automatically find the printer, select the option to add a printer manually. Choose the option for adding a printer using an IP address or hostname. Enter the printer IP address.

Step 4: Install the Driver

Select the correct manufacturer and printer model. If the driver is not available, install the manufacturer printer driver before completing the setup.

Step 5: Configure Printer Preferences

Configure settings such as:

  • Paper size
  • Color or black-and-white
  • Duplex printing
  • Print quality
  • Default paper tray

Step 6: Print a Test Page

Print a Windows test page and verify:

  • Correct printer
  • Correct paper size
  • Good print quality
  • No paper jam
  • Correct color settings

Troubleshooting

Printer cannot be reached

Check the IP address and network connection.

Printer is offline

Restart the printer and verify its network connection.

Printer IP keeps changing

Consider assigning a static IP or using a DHCP reservation according to your organization network policy.

Driver error

Remove the existing printer and install the correct driver.

Conclusion

IP-based network printer setup provides a reliable method for connecting office computers to shared printers. Proper IP management, driver installation, and documentation can reduce printer-related support tickets.
